How your data is used
How the employer and Hivemind use your data
The employer is recruiting for this role and is responsible for your application. It uses Hivemind, a hiring platform, to manage the process. Your application, CV, answers, any recordings, and the results of any assessment are used only to consider you for this and similar roles at the employer. Some steps use AI to transcribe, summarize, or score; a person at the employer is responsible for every decision, and you can ask for human review, correct your data, or request an accommodation at any time under Your rights, below. Your data is kept for the period the employer sets after the process ends. The employer's own privacy notice explains how it handles your data. Hivemind's Privacy Policy explains its role and your rights in full at hivemind.hr/privacy-policy.
AI phone screens, recordings, and video
This is an automated screening call from Hivemind on behalf of the employer about the role. You are speaking with an AI assistant, not a person. This call will be recorded and transcribed, and AI will be used to summarize and score your answers for the employer, and a person at the employer will review the result if you ask. If you would prefer not to be recorded, say so, or choose "Request an alternative", and the employer will offer another way to complete this step.
When you press Start, an AI assistant will call you at the number you gave on behalf of the employer to complete a screening interview. The call is recorded and transcribed, and AI is used to summarize and score your answers. Pressing Start is your request for this call. You can change the number, or ask for another way to complete this step under Your rights, below.
Assessments
Your activity on this assessment page, including what you type and click, is recorded so the employer can review how the assessment was completed. Your camera is not recorded by this, and nothing identifies you by your face or voice.
If you were contacted about a role
Why you are hearing from us
The employer found your professional profile on LinkedIn or another public source and thinks you may be a fit for the role. The employer uses Hivemind to manage recruiting. We hold your name, current role, employer, public profile details, and contact information. We use them only to tell you about roles and, if you are interested, to run the application process. The employer relies on its legitimate interest in finding candidates for open roles. If you would rather not hear from us, click the link in the message and we will stop and delete your profile within 30 days, keeping only what we need to make sure we do not contact you again. You can also ask what we hold, correct it, or complain to your privacy regulator. Full details: hivemind.hr/privacy-policy, and the employer's own privacy notice.
Your rights
Your rights during this process
You can, at any time:
- Ask whether AI was used at a step and what kinds of information it looked at.
- Ask for a human review of any automated score or ranking.
- Correct inaccurate information or add context to your application.
- Contest a result you think is wrong.
- Request an accommodation or an alternative to any assessment, including one that does not use AI, if a disability or other circumstance makes the standard process unsuitable.
- Access, delete, or take a copy of your data, subject to the law where you live.
- Object to being contacted about roles.
Send a request to accounts@gethivemind.ai. It goes to the employer, which must respond within the period the law requires and in any event within 30 days. Hivemind helps the employer answer and will not treat you differently for asking. If you are not satisfied you can complain to your privacy regulator; in the UK that is the ICO, in the EU the authority where you live.
New York City roles. The employer uses an automated employment decision tool at a step of the process. The most recent bias audit summary is at the address the employer gives you. You may request an alternative selection process or accommodation at accounts@gethivemind.ai. This notice is given at least ten business days before the tool is used.
Colorado roles. The employer uses an AI system to help make a consequential employment decision at a step of the process. It considers the categories of information named in the notice. If a decision adverse to you is made, you will receive the principal reasons, the categories of data used and their sources, and a chance to correct data and appeal to a human.
EU and UK roles. A high-risk AI system as defined in the EU AI Act is used at a step of the process under the oversight of the employer. You have the rights above and the right not to be subject to a decision based solely on automated processing that significantly affects you, except where the law permits it with safeguards.
